1Does this software run on Windows?
All of our applications run anywhere the D3 database will run. This includes most versions of Windows, numerous versions of Unix, and Linux. Most of our customers use Windows at their registers with a Linux server for its reliability. We can also run in the Pick "native" multi-user mode on the Linux based D3, requiring absolutely nothing from Microsoft Corp if desired.
2What equipment is required?
KEY-POS servers provided by DBMS Inc. all come with a latest generation Intel i5 processor and plenty of RAM. However, just about anything will work as a register or workstation. Although we prefer the Professional version of Windows 11, we are backwards compatible all the way back to Windows XP. KEY-POS is not resource heavy.
3Must I have Internet/Network?
No! A network is not required for our stand-alone base system. While having internet access makes things easy, KEY-POS does not require internet to operate like most cloud-based systems. That being said, we will provide you with everything you need to connect multiple registers to a local network and even multistore connectivity through the internet!
4How are barcode scanners/readers supported?
USB, Keyboard Wedge, Bluetooth, and serial interfaced scanners are all supported through a connection to a register, terminal, or PC workstation. The most widely supported scanner line is the Inateck BCST series. Almost any scanner will work with KEY-POS as long as it can scan all digits of the barcode.
5Can I use my existing equipment?
Yes! Most point-of-sale equipment is supported by KEY-POS. We support most Windows computers, network equipment, receipt printers, cash drawers, scanners and stripe readers. We have a list of approved laser and label printers that is available upon request.
6Does KEY-POS "communicate" with my wholesale distributor?
The KEY-POS distributor communications module currently has electronic communication capabilities for sending purchase orders, receiving invoices, inventory updates, catalog updates, promotions etc. with United Hardware, Orgill Inc., Ace Hardware, Blish-Mize, Do It Best, True Value, and House Hasson. Communications are in the works for Emery-Jensen and Buttery. KEY-POS also has universal catalog import utilities for all smaller distributors. Wholesalers are not identical in their offerings, so you should check with your distributor to see what information they make available electronically to their dealers.
7How much does it cost?
KEY-POS servers start at $4,505.00.
This includes hardware, software, training, data import, catalog loads, and more!
Additional register equipment and software such as PCs, cash drawers, scanners, printers, signature pads, etc. can also be purchased “a la carte” to add extra features or enhancements to existing equipment.
8How much do the support agreements cost and what do they include?
KEY-POS software support agreements start at $175 for the server, + $25 for each additional user license per month.
For these fees, telephone support is provided at no extra charge for the KEY-POS application. Updates to KEY-POS are also provided at no extra charge to those who request them. Optional hardware service contracts are also available.
9How can I see a demonstration?
You can call our toll-free number (888-862-0662) and arrange to make a connection from any Internet capable computer via the Internet to our demonstration systems in our offices.
One of our staff will show you the system in its entirety and answer all of your questions from the convenience of your home or office at a time of the day which is easiest for you. Alternatively, you can visit our booth at one of the many trade shows we exhibit at each year.
10Is KEY-POS PCI compliant?
Yes! Although the PCI compliance rules change on a regular basis, we work with multiple PCI compliance companies verify every store can stay compliant.
11Is KEY-POS cloud based?
Not in the traditional sense. KEY-POS uses an onsite server instead of an
offsite server like most cloud-based software. This creates a "private cloud", so you can still make sales if the internet goes down, but you can have remote access just like a traditional cloud-based system.
12Can I access KEY-POS remotely?
Yes! KEY-POS has a multi-level password secured access from anywhere outside of the store with an internet connection. You can access all of your data as if you were sitting at the front counter from anywhere, even while on a job site or vacation.
13Does KEY-POS have mobile options?
Yes! From traditional laptops and Windows tablets to a variety of cell phones and even pocket-sized scanners, KEY-POS will keep you moving. Many of our customers take their cellular data capable tablets with them everywhere for real time updates when away from the store.
14What does D3 do for my KEY-POS system?
D3 is the database that KEY-POS is built upon. D3 is a real-world 3-dimensional database that provides space savings and
tremendous speed. One of the best kept secrets in the computer business.
15What does Accuterm do for my KEY-POS system?
Accuterm is a terminal emulator that allows Windows computers to talk to your KEY-POS Linux server. It also provides many extra tools that make KEY-POS easier to use like: multiple screens and tabs, export functions, and mouse functionality where it is not normally available while in the native Linux format.
16What does Print Wizard do for my KEY-POS system?
Print Wizard is an optional piece of software that provides instant email, fax, and signature capture capabilities to your KEY-POS system for all of your receipt, invoices, and statements. It will start making you money on postage savings alone!
17How does KEY-POS protect my inventory and sales data?
All KEY-POS servers from DBMS Inc. come equipped with surge protection, battery backup, internal Raid 1 dual hard
drive protection, and easy to use verified backup to flash drive. The file save backup system produces one file that can be moved anywhere including the cloud or email. Most importantly, the KEY-POS file saves can be restored from at any point.
18How does KEY-POS protect my ROI?
KEY-POS will help you: make smarter purchase decisions, prevent shortages, clear out dead stock, maintain margins, scan in freight, prevent theft, save on postage, provide faster check out, increase/reward customer loyalty, among many other profit building and cost/time saving features.
19What does KEY-POS do for the less computer savvy?
KEY-POS is extremely easy to operate. Typically, you just have to answer yes or no style questions, or pick from a list of commands. We have found that even the most technically challenged can usually at least operate a 10 key or calculator which we have built most of our navigation around making it easy to operate quickly. If you ever get stuck, the question mark key can be used to bring up all of the possible options. There is also help text along the way to push you in the right direction. If that is not enough, our searchable PDF user manuals and support staff are easy to get a hold of.
20Can you import my existing data?
Almost always. Any data that can be exported in an electronic format can be imported into the KEY-POS system. The restrictions are typically on the export side. DBMS Inc. support staff can help guide you through what is required, but most Excel documents will load with zero issues.
21Can I make my own shelf labels?
Yes, and in a variety of styles, barcodes, and sizes. KEY-POS supports several different label printers that will allow you to make shelf, bin, price and even promotional tags.
22Can I use my own credit card processor?
Yes. While DBMS Inc. has integrated several different credit card processors into KEY-POS, integrated credit card processing is not required. We recommend talking to some of our providers as they are typically very competitive.
23Does KEY-POS work with my accounting software?
KEY-POS has a full accounts receivable suite including automated invoices and statements. It can also be used for timekeeping, cash in/out, and purchasing. Still, many of our customers use QuickBooks, Sage, or one of many other 3rd party accounting software platforms for their accounts payable. KEY-POS can generate G/L numbers almost instantly for a universal tie in with any preexisting accounting software. We have zero intention in making you switch.
24Does KEY-POS support E-Commerce?
Generally speaking, yes. While DBMS Inc. is not an E-Commerce company, we know several companies that can help you build a website and populate your inventory online. KEY-POS has generic export tools that work great for updating products and prices. We recommend verifying compatibility, which our support staff can assist with.
25Can I run multiple stores on one server?
Yes! While this requires some VPN networking hardware and good internet access, several of our stores run multiple businesses on the same server with no issues. No extra monthly fees required!
26What about my industry specific needs?
KEY-POS has several modules that are perfect for common retail related industries.
It can produce bids and board foot calculations which are perfect for construction and lumber yard applications.
It the ability to produce hold tickets which are commonly used in the service industry such as small engine repair.
It can produce pick tickets for warehouse pickers and delivery staff.
It can produce gift cards and gift certificates, perfect for most gift shops.
KEY-POS even has an entire integrated rental module for equipment rental and repair.
While KEY-POS does not have industry specific manufacturing modules yet, it does support kits, item matrixes, quantity breaks, assortment pricing, add on items, vendor cost sorting, and more.
